Dear ICMA Coaching Program State Association and Outreach Partners,

As valued Partners and as a key point of information for your members, I want you to have the following update.

What happened?

I am very sorry to report that due to a GoToWebinar (GTW) outage, we couldn't deliver the webinar on May 10. It was especially frustrating because we had great presenters and over 1,000 registered sites lined up. The facts that the outage occurred just as we were launching, and it took time for GTW to analyze and advise us that the problem was system-wide, meant we were unable to alert registrants immediately to the difficulty. This obviously made it particularly stressful for the many agencies and groups that assembled and rely on the webinars and our flawless record of delivering Coaching Program sessions for over 15 years.

How are we responding?

1. ICMA staff stepped in during the outage to post a notice on the ICMA Coaching Program webpage and respond to customer service calls with the limited information available.

2. I gained the help of our volunteer presenters and ICMA staff to reschedule the webinar to 10-11:30 am. PDT (1-2:30 p.m. EDT), Wed., June 20.

3. I escalated the issue with GTW technical staff and arranged for each registrant to the May 10 webinar to be automatically registered for the rescheduled session on June 20 so that registrants wouldn't have to re-register. GoToWebinar has sent a confirmation email for the rescheduled webinar to each registrant.

4. I am working with GTW technical staff to send an email to each registrant via GoToWebinar with an apology and additional notice of the rescheduling.

5. While we are awaiting the results of GTW's root cause analysis of the outage, we are developing some workarounds to be able to notify registrants more quickly and clearly in the unlikely event that another outage occurs during a scheduled ICMA Coaching Program webinar.

6. I continue to check my internal systems to provide backup for reliability. I have multiple redundancies on my end to avoid disruptions.

7. I continue to evaluate webinar platform providers for the best fit for the ICMA Coaching Program's needs. GTW has been that provider. We will learn about GTW's response and evaluate for the future.

Again, the time of your members and their colleagues is important. I offer my sincerest apology for the lapse in our ability to deliver to your members and respond in a timelier way.
